Emails Suddenly Disappearing

There can be several reasons why your emails may seem to have disappeared unexpectedly. Below are the most common causes and solutions for this issue:

1. Deleted Manually

It's possible that someone logged into your email account and manually deleted or moved the emails. Be sure to check all of your other folders, especially Spam and Trash, as emails may have been mistakenly moved there.

2. POP Access Used

If you accessed your email through a POP3 connection via Outlook or another email client, the emails may have been downloaded to the device that made the POP3 connection. Check the Outlook or other email client on that specific computer.

To prevent this from happening in the future, ensure that your POP3 account is set to leave copies of messages on the server. In Outlook, you can do this by following these steps:

  • Go to Tools > Accounts > Edit the email account > More Settings > Advanced

  • Check the box for Leave a copy of messages on the server

3. Accessing the Wrong Account

This mistake is more common than you might think! Make sure you're using your full email address (e.g., you@yourdomain.com) as your username when logging in. If you use your cPanel username, you’ll end up in the wrong email account and won’t be able to access your intended inbox.

4. Third-Party Scripts

Some third-party scripts are configured by default to use POP3 to retrieve emails from the server. It's highly recommended to use IMAP instead, as it keeps your emails synchronized across devices. If you are using a script to access your emails, consult your developer to change the configuration to use IMAP rather than POP3.
